Data protection declaration


I. Data processing in the application process by Arineo GmbH


1. Legal basis

By registering with Arineo GmbH, you give Arineo GmbH the permission to process your personal data in the course of a specific application for the purpose of finding a job, in accordance with the provisions of Section 26 of the BDSG (Federal Data Protection Act). Your data will be stored and processed on the systems of our software partner Personio SE & Co. KG . Further processing, in the form of anonymisation, is carried out in accordance with Art. 6 para. 1 lit. f of the GDPR.


2. Data protection and confidentiality

Data protection is a matter of utmost importance to us. Arineo GmbH and the software partner Personio SE & Co. KG have implemented the necessary organisational and technical measures to ensure the confidentiality of your application. All employees in the HR department and our software partner are under an obligation to maintain confidentiality regarding personal data as part of their employment contract. Thanks to automatically activated 256-bit encryption, secure transmission of your data is ensured. During data processing, the general standards for data security in accordance with the current state of the art are taken into account.


3. Use of your personal data

During the application process, the usual correspondence data such as postal address, e-mail address and telephone numbers are stored in the applicant database in addition to your title, surname and first name. In addition, application documents such as letters of motivation, CVs, professional, training and further education qualifications and references are recorded. This data is only stored, analysed, processed or forwarded internally as part of your application. It is only accessible to employees of the HR department and the persons responsible for the selection process at Arineo GmbH. Your data will only be passed on within the Arineo GmbH group of companies and will only be processed for the purpose of your application. The anonymised data may be processed for statistical purposes (e.g. reporting). It is not possible to draw conclusions about individual persons, as the data ceases to relate to a natural person due to anonymisation. Application documents are not anonymised, but erased after the deadlines listed below.


4. Rights of data subjects

You have the possibility and the right to contact the responsible party (Arineo GmbH, Pauliner Str. 12, 37073 Göttingen) at any time and request information about how your data is processed. You also have the right to have your data rectified and erased. You have the right to restrict processing, i.e. to allow only partial information to be processed. You also have the right to object to the processing of your personal data at any time. Arineo GmbH will then check the extent to which the non-processing conflicts with statutory disclosure and processing obligations and will inform you accordingly. You have a right to data portability, i.e. that we will hand over your personal data to you upon request in a machine-readable form using a common format specified by us.
You also have the right to lodge a complaint with the data protection supervisory authority responsible for your country if you are of the opinion that we are not handling your personal data properly and in accordance with this statement. If you have given us your consent to process your data, you can withdraw this consent at any time.

5. Storage and erasure of data

If you join Arineo GmbH, your personal data, or at most an extract thereof, will be added to your personnel file. Your data will be stored for a period of 180 days after the end of the application process. This is generally done to fulfil legal obligations or to defend against any claims arising from legal regulations. We are then obligated to erase or anonymise your data. In this case, the data will only be available to us as so-called metadata without direct personal reference for statistical analyses (e.g. proportion of women or men in applications, number of applications per period, etc.).
In addition, we reserve the right to store your data for inclusion in our ‘talent pool’ after the end of the application process in order to identify any other positions of interest to you. This also extends to applications for an apprenticeship or internship, for example. You can give the consent required for inclusion in our ‘Talent Pool’ on the respective application form in the ‘Data release’ section. If you select the appropriate formulation, you consent to any further storage of your data and inclusion in our ‘Talent Pool’.


II. Data protection declaration for Microsoft Teams


1. Information on the collection of personal data

We, Arineo GmbH, would like to inform you with this data protection declaration about the processing of your personal data in the context of the use of Microsoft Teams. It is used to ensure decentralised and simple communication with customers, partners and applicants in order to meet our contractual obligations.

3. Purpose of processing

We collect and use your personal data exclusively for the usage of Microsoft Teams, a communication platform that enables audio and video conferencing. Your personal data will be processed in accordance with the provisions of the European Union and German data protection legislation. We do not process your data for purposes other than those specified below.


4. Microsoft Teams

We can provide you with a means of communication through the video conferencing function of Microsoft Teams. We use Microsoft Teams to hold online meetings and online events. We use the ‘Team Meetings’ mode in Microsoft Teams:
During Teams meetings, audio, video and chat functions are open and usable for everyone. It is also possible to get in touch via chat outside of Teams meetings.


5. What data do we process with Microsoft Teams?

We process the following data when you use Microsoft Teams


  • Communication data (e.g. your e-mail address, if you provide this personal data)
  • Personal master data (if you provide this voluntarily))
  • Content of the online meeting (if you make a personal appearance with verbal and/or written contributions), including sound and image data in video and audio conferences
  • Authentication data
  • Log files, protocol data
  • Metadata (e.g. IP address, time of participation, etc.)
  • Profile data (e.g. your user name, if you provide this voluntarily)
  • Data shared by uploading
  • Calendar entries created
  • Content created and edited in Word, Excel, PowerPoint and OneNote

Microsoft Teams is part of Microsoft Office 365 and is software from Microsoft Corporation, One Microsoft Way Redmond, WA 98052-6399 USA.


6. Legal basis for processing

We process data on the basis of a legitimate interest in accordance with Art. 6 para. 1 lit. f of the GDPR and for contract fulfilment and contract initiation in accordance with Art. 6 para. 1 lit. b of the GDPR. In the case of Art. 6 para. 1 lit. f of the GDPR, our legitimate interest in data processing is based on:


  • Coordination of contracts
  • Making appointments
  • Exchange of information

In the case of job interviews, the legal basis for processing is based on Section 26 of the BDSG (Federal Data Protection Act) in conjunction with Art. 88 of the GDPR.


7. Disclosure of data

(1) We will not disclose your data. The processing company acting on our behalf is Microsoft Ireland Operations Ltd. in Dublin/Ireland (Microsoft). The storage location of your data in the cloud is in the Europe region. The order processing relationship between Arineo and Microsoft does not include or provide for any transfer to third parties or third countries. Nevertheless, in order to provide an adequate level of protection and due to the circumstances described in paragraph 2, we have concluded standard contractual clauses with Microsoft. (2) Microsoft Teams is a part of the Microsoft Office 365 cloud application. You may need a user account to use Microsoft Office 365. A Teams account is not required to participate in a Teams meeting. For more information, click here: Support Microsoft
Microsoft, as a service provider, reserves the right to use and process your data for its own business purposes. In this case, Microsoft acts as its own responsible party within the meaning of the General Data Protection Regulation and is then solely obligated to comply with data protection laws. In this case, the transfer of data to third countries cannot be ruled out, which may represent a data protection risk for data subjects.
